A student who officially withdraws from the university on or before the first day of classes will receive 100% refund of tuition and fees. A student who officially withdraws from the university after the first day of classes will receive a pro rata refund as listed below. Please note that after the registration add/drop date for a given term, students requesting to drop a course (and not from the university) are not eligible to receive a pro rata refund for the dropped course.

Exception: Charges are refundable by administrative action on a prorated basis for the unexpired portion of the term for the following reasons: death of the student, withdrawal for adequate medical reasons as certified by the University student health center or family doctor, or death in the immediate family which necessitates student withdrawal. Appropriate documentation must be provided to the Registrar. No adjustment of fees will be processed for students dismissed or suspended from the institution for disciplinary reasons. Room and board refunds are subject to housing policy guidelines.
Termination of Financial Aid
Students who completely withdraw for any semester (fall or spring) after the 10th day of class will automatically have their financial aid terminated for the following semester. The students may appeal the following semester for consideration of future aid.
The Office of Financial Aid receives grade information at the end of each term. If all grades are W’s, I’s, and/or F’s, the Office of Financial Aid is required to determine the official last date of attendance and if necessary, return unearned financial aid to the federal government. The student may be required to repay all or a portion of the aid received, based on the length of enrollment.
Clause: For students receiving financial aid from the government (grants & loans),the amount of money you will receive back in a refund is proportional to the amount of time you were present in class during the term. Furthermore, you may end up owing money to the government and the University if you were not enrolled 60% or more of the time; even though you did not receive a grade for the class or classes. Please note you are only considered to have earned your financial aid if you have been enrolled for at least 60% of the term.
Withdrawal Information
An “official” withdrawal is obtained through the Registrar's office and requires authorization from various departments.
An “unofficial” withdrawal occurs when a student receives an “F” for all classes attempted for the term.
A “medical withdrawal' is obtained through the Registrar's office and requires medical documentation.
Any student who officially, unofficially, or medically withdraws from the University within the first 60% of the semester will receive an adjustment to their financial aid. This adjustment is based on a percentage which represents the amount of time completed in the semester and is applied to the total institutional charges assessed to the student as well as Title IV financial aid applied to the student’s account.
The percentage is determined by dividing the total number of calendar days in the semester not completed by the student, by the total calendar days in the semester. The total calendar days in the semester begins with the first day of classes and ends with the last scheduled day of exams, includes weekends, but excludes scheduled breaks of five or more days and days that the student was on an approved leave of absence. No adjustment will be made to a student’s financial aid if the percentage representing the amount of time remaining in the semester is less than 40%.
The Financial Aid Office will retract funds from the Student’s Cashier account to return funds to the appropriate Title IV program in the following order: Direct Unsubsidized Stafford Loan, Direct Subsidized Stafford Loan, Federal Perkins Loan, Direct Graduate PLUS, and Direct Parent PLUS. If unearned funds remain to be returned after repayment of all outstanding loans, it must be subtracted from Federal Pell Grant, and Federal Supplemental Opportunity Grant.
The University will assume the responsibility for making the appropriate returns to the Title IV programs on the student’s behalf as well as over payments received by the University. It is the responsibility of the student to pay the University these overpayments within 90 days from the date of the withdrawal. Failure to repay the University will jeopardize eligibility for future Title IV funding. Students must also complete Exit Loan Counseling. This is a federal requirement of all students who are graduating from WSSU withdrawing; or have dropped below ½ time status.
