Bus/Passenger Van Reservation Information
- Buses and Passenger Vans are assigned based on a first-come, first-served basis; therefore proper travel planning is recommended.
Transportation Request Timeline
- 56 Passenger Bus - One Month prior to Trip
- All other vehicles - Two Weeks prior to Trip
Trip is not guaranteed until requesting department received confirmation.
- Department Head Approval is required when utilizing departmental fund/budget codes for travel purposes. Please obtain approval BEFORE requesting a bus or van for all travel needs.
- Departments will be charged for the ENTIRE time period the bus has been reserved. Police and Public Safety Bus Drivers WILL remain with the department throughout the duration of the travel.
- Departments are responsible for the University Bus Driver's overnight lodging and other travel expenses that may occur (ex: toll expenses, parking expenses, etc.)
- Only certified University Transportation Bus Drivers are authorized to drive vehicles in the Traffic and Transportation fleet.
- All trips must depart from university campus
- Trips must be sponsored by and Internal University Department or Organization
- Trips paid from an external source, must pay in full at the time of the confirmed reservation *Mileage is approximate, and it may be more than the estimate at the end of the trip.
- Priority reservation will be provided to student groups.

- Will accommodate up to two wheelchairs w/ reduced capacity of two seats to accommodate one wheelchair
- One - Handicap Accessible Passenger Van (travel destination not limited)*
- 4 passenger seats + one wheelchair*
- 2 passenger seats + two wheelchairs*
- One – 14 Passenger Bus with cargo (travel destination not limited)*
- Two - 13 Passenger Van (travel destination not limited)*
- One - Storage Trailer attachment for Passenger Vans*
- Three – 29 Passenger Buses with cargo (travel destination not limited)*
*Seats two individuals and able to tow up to 3,500 lbs.

Greater than 50 miles, an additional charge of $0.85 per mile
University Bus Driver Charge: $20.00 per hour

Daily Rate within Winston-Salem, NC: $250.00 per day less than 50 miles
Greater than 50 miles, an additional charge of $0.85 per mile

14 Passenger Bus
Daily Rate within Winston-Salem, NC: $200.00 per day less than 50 miles

13 Passenger Van and Handicap Accessible Passenger Van

Storage Trailer - For Passenger Vans Only
Flat Rate of $50 per trip
The storage trailer is beneficial for those groups who may have a lot of luggage or need storage space for equipment. It is available for travel UPON REQUEST ONLY.
Overnight Travel
All overnight travel costs for the University Transportation Driver is calculated per day at $20.00 per hour from beginning ot travel to the end of that day's travel. A driver's time should not exceed 10 hours per day. Trips that require more than 10 hours will require 2 drivers.
During the overnight travel period if there is a day(s) the department DOES NOT utilize the University Transportation Driver there will be a 4 hour bus driver charge (equivalent to a $80.00 bus driver charge for that particular day). For example, if there is no bus transportation required for a day, the driver will be paid for 4 hours.
Departments are responsible for the University Transportation Driver's lodging and other costs associated with travel (ex: toll and bridge fees, parking fees, etc).
Cancellation Policy and Fees
All cancellations should be submitted to the Parking and Transportation Office within 24 hours before travel departure. Failure to abide by the stated policy will result in a cancellation fee(s).
- The cancellation fee is equivalent to a one day daily rate charge based upon anticipated mileage.
- If the university bus cancellation is made after the University Transportation Driver arrives to
campus, the department will be charged a cancellation fee that includes the one day daily rate PLUS a two hour university driver charge. - If the confirmed trip is cancelled after the University Transportation Driver arrives to campus, the department will be charged a cancellation fee that includes the one-day daily rate PLUS a two-hour university driver charge of $40.00.
